Chris is responsible for deciding how your personal information is used and kept safe. If you have any questions about this policy or your information, please get in touch using the details above.
Collected Personal Data
Depending on how you use our services, we may collect:
- Contact details: your name, email address, telephone number and anything you include in a message or enquiry.
- Client records: your date of birth, address, GP or medical contact details, and appointment and payment history.
- Health information: details of your injuries, symptoms, medical history, surgery, medication, assessment findings, treatment notes and progress.
- Photos and video: video recordings taken during movement and gait analysis, only with your agreement.
- Website data: basic technical information such as your IP address and browser type, which is collected automatically by our website host.
Health information is "special category" data under UK data protection law and is given extra protection.
Purpose for Collecting Data
We use your personal information to:
- reply to your enquiries and messages (lawful basis: your consent, which you give when you use the contact form or contact us directly);
- manage your online bookings, assess and treat you, and plan your recovery (lawful basis: to perform our agreement to provide services to you);
- record and use health information needed to treat you safely (lawful basis: your explicit consent, which we ask for before your first assessment);
- take payment and keep business and tax records (lawful basis: legal obligation);
- keep the website running securely (lawful basis: our legitimate interest in operating a safe website).
We do not sell your information, and we will not send you marketing messages unless you have asked us to.
Who We Share Your Data With
We only share your information where necessary, with:
- Cliniko, our online booking and practice management system, which stores appointment details and client records securely on our behalf, using UK-based servers;
- our website and email provider (IONOS), which stores website and email data on our behalf;
- our accountant, for tax and accounting purposes;
- Google, if you choose to view the Google Maps map on our Contact page;
- your GP, surgeon or other healthcare professional, but only with your permission or where required by law.
These providers only use your information on our instructions and must keep it secure.
How Long We Keep Your Data
- Enquiries that do not lead to a booking are deleted within 12 months.
- Client and treatment records, including videos, are kept for 8 years after your last appointment. For clients under 18, they are kept until their 25th birthday, or for 8 years, whichever is longer.
- Financial records are kept for as long as HMRC requires (currently 6 years).
After this, records are securely deleted or destroyed.
Keeping Your Data Safe
Client records and bookings are held in Cliniko, a secure, password-protected practice management system. Any paper records are stored securely, and other electronic records are kept on password-protected devices and accounts. Only Chris has access to your client records.
Your Rights
You have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct anything that is wrong or incomplete;
- ask us to delete your information, where we do not have to keep it by law;
- object to or ask us to restrict how we use your information;
- withdraw your consent at any time (this will not affect anything we did before you withdrew it).
To use any of these rights, email chris@cbneurosport.com. We will respond within one month.
Cookies
This website uses cookies that are essential for it to work. Our Contact page includes a Google Maps map, and Google may set its own cookies when the map loads, so we ask for your consent first through the cookie banner. You can change your choice at any time. We also use IONOS website statistics to understand, in general terms, how many people visit the site and which pages they view.
Complaints
If you are unhappy with how we have used your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

We may update this policy from time to time. The latest version will always be on this page.
